1. Overview

This Return and Refunds Policy outlines the terms, conditions, and procedures for returning industrial, agricultural, water treatment, and mining chemical supplies purchased from EcoBio Chemicals.

Due to the strict safety mandates, regulatory compliance requirements, hazardous classifications (such as UN-certified heavy metal containment), and quality control tracking inherent to industrial chemicals, all returns and refunds are subject to strict commercial guidelines.

2. Eligibility for Returns

Because chemical purity, batch traceability, and chain of custody are critical in industrial applications:

Returns are only accepted if products are proven to deviate from the provided Certificate of Analysis (CoA) or arrive structurally compromised/damaged due to logistics failure.
Products must remain unopened, untampered with, and stored in their original, certified packaging (including UN-compliant flasks, drums, or containers).
Standard stock items ordered in error by the client are evaluated on a case-by-case basis and may be subject to a restocking fee, provided they meet safety and integrity checks.

3. Reporting Window and Inspection

Immediate Inspection: Clients must inspect all shipments, container seals, and accompanying documentation immediately upon delivery in accordance with our Shipping Policy.
Reporting Deadline: Any discrepancies, damaged containers, or analytical non-conformances must be reported in writing within 48 hours of delivery to info@ecobiochemicals.co.za.
Required Information: Claims must include the original tax invoice number, batch/lot number, photographic evidence of the packaging or product condition, and the original Certificate of Analysis.

4. Return Shipping and Logistics

If a return is authorized by EcoBio Chemicals due to non-conformance or transport damage, we will coordinate compliant reverse logistics using certified hazardous material carriers.
Clients must not dispatch chemical returns independently without prior written authorization and adherence to proper multimodal transport documentation standards.

5. Refunds and Credit Processing

Verification: Returned chemical samples or containment units will undergo laboratory or physical inspection to validate the claim before any financial reimbursement is approved.
Refund Method: Approved refunds or credit notes will be issued via the original payment method or credited to your corporate account within 7 to 14 business days following inspection verification.
Non-Refundable Items: Custom formulations, specialized chemical blends, and opened or unsealed hazardous containers cannot be returned or refunded under any circumstances.
